Before my trip
» My real name is Sunflower Blossom but everyone calls me Sally, which name should I book under?
When travelling out of Canada the name on your travel documents should match the name that is on your passport. It may be embarrassing at times to let your friends know your full legal name, but it is a lot more embarrassing to be denied boarding at the airport becuase your travel documents do not match. Don't worry though, we can have the S-Trip! staff address you by any name you prefer.
» Will my cell phone work?
Cell phones work at most destinations, depending on your mobile providers. Generally, roaming charges can be quite expensive, but we’ve found that text messaging – although slightly more expensive than in Canada – can be used effectively to communicate with your friends and family back home. For detailed information on cell phones in your destination, contact your provider.
» Do I need a passport?
A valid passport is needed for all destinations that S-Trip! travels to outside of Canada. A passport is the best and most easily recognized form of identification for travel to another country. Your passport should be up to date and have an expiry date that is a minimum of 6 months after the RETURN date of your trip. For example if you are scheduled to return to Canada on March 19th, 2011 your passport should be valid until at least Sept 19th, 2011.
» What should I pack?
Students will receive a comprehensive list of what-to-pack suggestions in their pre-trip pack, several weeks before their departure. Air travellers should be aware of standard airline limitations of 20 kg of luggage per passenger. To make travelling in and out of hotels and between different forms of transportation, we recommend travelling with one suitcase per passenger.
» Are there special entry/exit requirements for where we are going?

For Mexico
As of March 1, 2010 a valid passport is required for entry to Mexico.
For Cuba
A valid passport is required for Canadians intending to visit Cuba. Canadians must also carry a Tourist card. Tourist cards are given out with final documents or on the plane. Replacement costs for tourist cards are $15USD
When exiting CUBA there is a $25 USD exit tax that must be paid locally. this is not included in your package by S-Trip!
For Dominican Republic
A vaild passport is required. Canadians must also carry a Tourist card. Tourist cards are given out with final documents or on the plane. Replacement costs for tourist cards are $10 USD
» My Invoice says my status is Pending?
Files notified as being on pending status have missed one or more payments and are not up to date. As a result we are unable to submit payments and/or release documents for a trip. At this point the passenger is not guaranteed a seat on the trip. Once you have the balance applied and are caught up with payments we will put a request into the supplier to re-instate the file to active status.
» I can't go anymore. What do I do?
All cancellation requests for S-Trip! accounts must be given in writing to info@s-trip.com, or must be in writing via Canadian Mail to be effective. The following fees are in place.
Cancellation within 7 days of deposit date = loss of deposit
Cancellation prior to final payment date = loss of deposit + $350
Cancellation after final payment date = 100% non refundable
» Are the trips supervised?
S-Trip! takes pride in its commitment to student safety. Although S-Trip! tours are not school sanctioned, they are overseen by an S-Trip! team that includes Canadian high school teachers. Our priority is creating a safe experience for students. We’ve made a point of choosing student-friendly hotels that have prioritized safety by maintaining a foreigner-only atmosphere and providing their own security staff. All resorts have medical staff onsite or readily available.
The S-Trip! destination staff are on top of the normal destination staff that are part of most tour packages.
Staff see students off at the airport in Canada and greet them upon arrival at their destination. Our staff are on-site 24 hours a day patrolling the resort to ensure that students are safe and well behaved.
Students are also provided with a 24-hour emergency contact number or room number for reaching staff locally.
» Can I transfer a payment from one trip to another if I change my mind?
S-trip! works with many different suppliers and each one is responsible for a portion of the trip that is relevant to a specific trip type. As we use different suppliers for all of our flight and bus trips (bus companies, hotels, tour operators etc) it is not possible to transfer a payment from one trip type to another as each supplier has their own individual rules and regulations regarding deposits and payments.
» What does my package include?
Your S-Trip! package includes everything you’ll need for an incredible vacation! Every package includes round trip transportation, hotel accommodation, transfer to and from your hotels, and a wide variety of sports and non-motorized activities at your resort. Many of the resorts are all-inclusive food and drinks, while some hotels offer a European Plan (including breakfast & dinner), some even have 24 hour room service! See your group’s trip flyer or the pretrip information package to know the exact inclusions for your specific trip.
Your package also includes access to S-Trip exclusive concerts, featuring some of your favourite international artists, and access to our in depth knowledge of every destination. Every trip is staffed by a full complement of S-Trip! Destination Staff, including a Trip Leader dedicated to each group. It’s their responsibility to ensure that your trip is fun and safe, and that you can find the very best highlights of your destination!
» You guys offer a bunch of different destinations, how do I know which one to pick?
Sometimes picking a destination for the perfect vacation can be tedious, and that’s where our well travelled and experienced staff members come in. You can consult with an S-Trip! travel counsellor to help you figure out which experience will best suit you and your friends for a S-Trip! you won’t soon forget!

» Should I purchase the RBC Youth and Student Insurance?
Youth & Student Comprehensive Package includes all the benifits of Classic Medical plus Trip Cancellation & Interruption, Baggage & Personal Effects and Flight & Travel Accident Coverage. The Comprehensive package is highly recommended. Please ensure you have reviewed your policy for insurable reasons for cancellation. Even with RBC Y & S Insurance, there may be circumstances such as "change of heart" that are not covered and not eligible for a refund.
» Does the all inclusive program run 24 hours per day at my resort?
Some resorts are on a 24 hour per day all inclusive program for food and beverages; other resorts stick to a European Plan for partial food only. Complete information on your resort can be confirmed with your organizer and in your pre-trip package.
» Can parents join the trip?
S-Trip! tours are organized by students, for students, as an unforgettable experience for a group of classmates or a final celebration for a graduating class. Accordingly, parents are not permitted to accompany the tour. However, occasionally parents organize their own vacation to overlap with their child’s and elect to stay at a nearby resort.

» When do I get my travel documents?
Documents are generally released 3 weeks prior to the departure. They will be sent to the trip organizer. Students will then meet with the organizer to pickup and sign for their tickets. Any outstanding balance would need to be cleared before tickets are released. These tickets and documents must be brought with them to the airport or starting point for departure.
» Who can sign up?
S-Trip! Grad Trips are designed especially for graduating students of Canadian High Schools. Grad Trip is a once-in-a-lifetime opportunity to celebrate your graduation with all of your friends in an amazing destination down south. We plan your trip around exciting excursions, student-friendly hotels, and live concerts for students from across the country, giving you one last chance to celebrate before you take the next big step in your life. Because students love the opportunity to spend quality time with their classmates and friends, Grad Trip is only intended to include members of the graduating class of a particular school. Grads under the age of 18 will require their parent or guardian’s consent in order to travel internationally.
Grad Trips are group trips, planned and organized by YOU and YOUR FRIENDS. Almost any size will do: from 2 to 200!
» Do I need to purchase my own travel insurance?
Most trips run smoothly, but once in a while something unexpected can happen, that’s why we include Classic Medical Insurance in all of our packages. You can choose to upgrade your insurance to the Youth and Student Comprehensive package, which includes the medical coverage as well as coverage for trip cancellation & interruption, baggage & personal effects, and flight & travel accident. Both packages are offered by RBC Travel Insurance. It is important to review the policy for specific information about the package you have purchased. Upgrading to the Comprehensive package requires a payment on top of the trip deposit. The Comprehensive package is highly recommended.
» Are travel vaccinations required before departure?
Although there are no mandatory inoculations for any of our Grad Trip destinations, the best person to ask is your family doctor. We don’t give medical advice because we’re not medical professionals. The Canadian Government often makes recommendation for vaccinations or immunizations. You can review their helpful travel advisories at www.voyage.gc.ca. In all cases, however, it’s best to go to a doctor several months before of departure.

» What if I’m not a Canadian citizen?
Some countries have different visa or entry requirements for travellers of different citizenships. Be sure to check with the embassy of your destination country to figure out if you’ll require a visa to visit. We’ll do our best to help out, but each country has the final say on visa and entry requirements.
» How do I fix incorrect information on my invoice?
It’s important that the name listed on your invoice matches your name as it appears on your passport. Your first and last name should appear as they do on your passport, your middle name is not required. Other information such as address and phone number should also be correct. Please email corrections to corrections@s-trip.com
Changes that are requested within 7 days of departure may incur a change penalty
» Why do I need to wait until a few weeks after final payments to learn my exact travel dates?
We don’t fix the exact departure date until we receive a final confirmation on your group size, after the final payment. Once we confirm the size of your group, we can allocate you to your flight ensuring that your group will travel all together.
Regardless of when you depart, your trip will last eight days and seven nights: if you depart on a Friday, you’ll return the following Friday. If you have specific requests relating to dates, please discuss them with your Group Organizer.
Once the date and times are finalized, remember that suppliers and airlines reserve the right to change or modify the date and times of travel.
» How do I join an existing trip?
We’re so excited you’re going to join us on the trip of a lifetime! To sign up, print off a copy of the reservation form and give it to your student organizer, call us or clink on the links at the bottom of this page.
During my trip
» When can I eat? Where do I eat?
Meal arrangements differ from resort to resort; you’ll receive specific information on your resort from the S-Trip! destination staff during your destination briefing. In general, most resorts have two options: a la carte (sit-down meals) and buffet. Eating at your resort’s a la carte restaurant often requires making a reservation. We recommend making a la carte reservations on your day of arrival. No reservation is required at buffet restaurants: meal times will be displayed in your hotel lobby. For more detail at any point during the trip, ask the S-Trip! staff or the hotel reception.
We’ll also help coordinate special dinners where you and your entire group can eat together! You’ll get more information on the special events planned for your group when you arrive.
Most hotels serve a wide variety of food between the restaurants and the buffet. For more detailed information regarding the menu, contact the hotel directly.
» How much is the damage deposit for the room?
Students are required to give a damage deposit upon check-in in the unlikely event that damage occurs in your room. Damage deposits can vary, up to $100 USD per person, but in some cases are not required. You should be prepared to pay a damage deposit of $100 USD per person. Damage deposits will be refunded on departure day after room inspection.
» What documents do I need to travel?
All S-Trip passengers are required to have a valid Canadian passport for travel outside of Canada. You can get the forms to apply for a passport here: www.ppt.gc.ca We also suggest bringing at least one piece of government photo ID, such as a driver’s license.
Please note it is the passenger’s responsibility to obtain all necessary travel documents. Double check with the appropriate embassy before your departure to ensure that you have met all entry requirements.
» How will I identify the S-Trip! staff?
All S-Trip! staff are required to be in uniform during the duration of the trip. They will also have lanyard and staff tags that are clearly visible. An introduction meeting to is held to introduce the staff at the beginning of each trip.
» What if I have food allergies or special meal requirements?
Most of our hotels are comfortable catering to food allergies or special needs. However, as food preparation standards can differ outside of Canada, we are unable to guarantee an allergy free environment. We recommend researching in advance and coordinating directly with the airline and food and beverage manager of the hotel. S-Trip! can initiate contact with the appropriate persons.
» Who are the destination staff?
S-Trip! hires travel professionals, Canadian high school teachers, and other contracted staff with backgrounds in teaching, counselling, sports, and entertainment as destination staff on our tours.
Staff range in age from 21 – 50. In preparing for a tour, staff are subject to a rigorous screening process, including a police check, as well as thorough training to review protocols and procedures. Most staff repeat from year to year and are experienced in their destination. Staff are paid and working while on destination. They are always in uniform and are forbidden to consume alcohol.
Staff are also lots of fun – they’ll be involved in all activities and excursions throughout the week. S-Trip! takes the responsibility of overseeing students with exceptional importance and ensures that the nature of that responsibility is thoroughly communicated to its staff. Accordingly, students can expect to see staff regularly, at all hours of the day.
» Is the food and water safe?
S-Trip! has chosen hotels with high health standards. Bottled water is available across all properties, and filtered water is available free of charge. All raw foods are washed with filtered water to reduce the risk of contracting a stomach ailment. Because even a small change in diet can affect your digestive system, we recommend that those with sensitive stomachs should be sure to bring the appropriate medications just in case.
» Do we get to choose who we’ll be rooming with?
Yes, you can choose your preferred roommates when you submit your reservation form or online booking. If you don’t know right away, don’t worry: the group organizer will ask you at a later stage to make your roommate selection. Please review your invoice to see who your assigned roommates are and notify us immediately if there are any errors.
» How much spending money should I bring?
To make budgeting easier, we offer our Excursions Package which allows you to pre-book and pre-pay for your activities. This ensures that you’ll be able to do what you want, when you want, and that you won’t miss out by not bringing enough money.
For students who choose the Excursions Package in advance, we typically recommend bringing around $200 in spending money. This is in addition any funds used to cover the damage deposit ($20 insurance of $60 damage deposit), renting a room safe, $15 or tipping.
» What happens in a medical emergency?
In the unlikely event of a medical emergency, the first priority is ensuring that the injured student receives immediate medical attention. All trips are staffed by experienced and trained S-Trip! staff comfortable in the local culture and trained in first responder tactics. S-Trip! will be with the student as soon as possible after an incident occurs and will be present until the situation has stabilized.
Immediately after ensuring that medical needs are met, staff will contact the insurance company and the student’s parents to advise all parties of the situation. S-Trip! generally escalates the situation immediately, involving our most senior staff members as necessary. As the situation stabilizes, we’ll continue to monitor the student as appropriate, following the instructions of medical professionals.
» Are there safes in the hotels?
All hotel rooms come equipped with safes for the use of the students. There may be a nominal charge at check in to use the safe. This cost can be divided among all the students in the room. Although we highly recommend the use of the safes it is up to the students in the room to remember to use it diligently.
After my trip
» I bought the insurance, but didn't need it. Can I get a refund?
Amounts paid for the purchase of insurance are non refundable. With insurance once payment is received we forward your information to the insurance company and your coverage starts so that you are protected against any issue that may cause you to need to file a claim. Insurance is an “all or nothing” purchase and does not allow the option to decide you do not want it after a period of time. It has been been used during that period covering you for instances that may have happened, but fortunately did not.
» My Luggage was lost, who do I contact?
It is an unfortunate fact of life that sometimes things do go missing. In the event they do we ask that you start by filling out a Lost Item form which can be found on our website and faxing/emailing it in to us. We will forward this to the relevant suppliers on your behalf.
Unfortunately we are unable to submit any Lost Item forms more than 7 days after the end of a trip.
